How to set up clinic online booking — public page, slots, and staff inbox

Online booking should not mean a separate scheduling app or a WhatsApp thread nobody can audit. This guide walks through enabling your public booking page, configuring which doctors accept requests, managing the pending inbox, and connecting confirmed patients to day-of OPD — all inside MakeMyClinik.

What clinic online booking includes

Clinic online booking gives you a public URL on your clinic subdomain where anyone can request an appointment — doctor, date, time slot, and reason — without installing an app.

Staff review requests in Online Appointments: accept, decline, or reschedule. Patients track pending, confirmed, and declined status in the patient portal under My Bookings.

Step 1 — Enable the public booking page

From Online Appointments, turn on the public booking page and set a short tagline — for example “Same-day slots available” or “Evening OPD booking open”.

Copy your public link for WhatsApp, Google Business Profile, your clinic website, and print materials. Toggle the page off anytime without losing past request history.

Step 2 — Configure doctors and slot settings

Choose which doctors accept online bookings and set slot length, working days, and capacity per session. Not every doctor needs to be bookable online — many clinics start with one OPD session per day.

Doctor Config tab holds per-doctor settings so a multi-doctor clinic can offer different availability without separate products.

Step 3 — Manage the request inbox

Pending requests show patient name, preferred doctor and time, reason, and source — public page or patient portal. Accept when the slot works; decline when full or inappropriate; reschedule when another time fits better.

Tabs for Pending, Accepted, Arrived, and Closed give front desk a clear lifecycle — not a notebook of names and times.

  • Pending — awaiting staff decision
  • Accepted — confirmed; patient sees status in My Bookings
  • Arrived — patient checked in for today’s visit
  • Closed — completed or declined terminal states

Step 4 — Patients find you on the directory

MakeMyClinik hosts Find a clinic at makemyclinik.com/find-clinic. Patients search by city and specialty and filter to clinics with online booking available.

Each listing links to your public booking page — useful for new patients who do not yet know your subdomain.

Connecting bookings to walk-in OPD

Online booking does not replace your token queue. Confirmed patients check in at the desk and join the visible line per your clinic policy — priority band, next number after registration, or same rules as walk-ins.

Many clinics reduce phone volume while keeping fair numbered order for everyone in the waiting room.

Common setup mistakes

Enabling booking without setting doctor slots leads to requests you cannot honour — configure availability before sharing the link widely.

Accepting on WhatsApp while the inbox stays pending confuses patients who check My Bookings — update status in Online Appointments so portal and desk agree.

Do patients need a portal account to book?
No. Anyone can submit a request from the public page. Portal access can be created or linked after booking so they track status under My Bookings.
Can we turn off online booking temporarily?
Yes. Toggle page status in Online Appointments. The public URL shows that booking is unavailable; staff still see historical requests.
How is this different from hospital appointment modules?
MakeMyClinik targets outpatient clinic rhythm — request, accept or decline, check-in, token queue, consultation — not ward scheduling or insurance pre-auth trees.
Does online booking work for multi-doctor clinics?
Yes. Each doctor can have separate slot settings. Patients choose the doctor on the public page; requests route to the correct inbox entry.
